One official portal that connects a national organization with every council across the Philippines
Upsilon Phi Sigma has served since 1935, with councils across the country. Its National Executive Council needed one official place to publish announcements and memoranda, see what every council is doing, and manage membership — the portal we built is that place.
The project
A national organization with councils in many provinces and cities faces the same problem every year: official announcements get lost among social-media posts, memoranda are passed around as photos, the national office can't easily see which councils are active, and membership records live in notebooks and spreadsheets spread across chapters.
As part of the organization's Digitalization Program, we built the UPS Portal. The public side is the official source of announcements, news, memoranda and events from the National Executive Council and its councils, with live rankings of the most active councils and those with the most affiliated members. Behind the login, the national admin, chapter chairpersons and members each get their own workspace — and new applicants can apply for membership online, while member IDs are generated from the same records.
The result is a more connected organization: members know where to find official information, active councils are recognized, and leaders can make decisions based on real, up-to-date records.
What the system does
Announcements, news, memoranda, events and general articles in one official place, with filters by type and featured posts on the home page.
Councils across the country post their own activities and events, so the whole organization can see what is happening nationwide.
Live rankings of the most active councils and the councils with the most affiliated members — recognizing hard work and encouraging friendly competition.
Councils share event highlights with location and photos, and members acknowledge their participation, building a record of the organization's service.
Separate, secure workspaces for the national admin (system control panel), chapter chairpersons (chapter management) and members (their own account).
Applicants apply for membership through their own portal instead of paper forms, so every application is recorded and easy to follow up.
Member identification cards are created from the official membership records, keeping IDs consistent across every council.
Chairpersons manage their chapter's information and activities online, and the national office sees everything in one system.
The organization's Facebook page and social channels are linked and featured, so the portal and social media work together.
Members, officers and the public can read announcements and use the portal on any phone, tablet or computer.
